Position Overview
The Athletics Operations Coordinator plays a key role in supporting the Athletic Director (AD) and Assistant Athletic Director to deliver a student-centered athletic program that reflects Holton-Arms’ mission and values. They will also interact with external constituents such as facilities, admissions, business offices, communications, and more. This full-time, 12-month position requires strong organizational, communication, and leadership skills, as well as a commitment to the physical, emotional, and social well-being of student-athletes. The coordinator ensures smooth athletic operations by overseeing logistics, compliance, facilities, and student engagement while fostering an inclusive environment that inspires students to achieve their potential.
Key Responsibilities
Administrative Operations
● Manage practice, game, and event schedules through Veracross and related systems, ensuring accuracy and timely updates.
● Confirm game schedules, officials, transportation, and facility reservations; prepare contingency plans when necessary.
● Maintain team rosters, game results, records, statistics, and daily communications.
● Oversee design, ordering, and distribution of team uniforms and gear, ensuring equity and inclusivity.
● Organize awards ceremonies, senior nights, end-of-season celebrations, and college recruitment events.
● Support the development and implementation of athletic handbooks and policies that reflect best practices.
Student-Athlete Support
● Promote the holistic development of student-athletes, emphasizing well-being, character, and leadership.
● Serve as a resource and advisor to upper school students, guiding their athletic journeys and helping to build an inclusive community.
● Facilitate a positive and inclusive environment that promotes sportsmanship, teamwork, and personal growth.
Communications and Media
● Oversee the management of all athletics data and web pages, ensuring accurate and up-to-date team rosters, game schedules, and officials’ information.
● Develop and implement a strategic social media plan to enhance visibility and engagement for all athletic teams and the overall program.
● Collaborate closely with the Holton-Arms Communications Department to align messaging, branding, and communications for special events.
● Design and execute a dynamic athletics communications strategy to engage the broader community, including alumnae.
● In conjunction with HAS Communications and Marketing, help to oversee and manage the social media presence for all teams on Instagram throughout the school year.
Coaching and Leadership
● Coach three Middle School and two Upper School teams annually, modeling excellence in leadership and mentorship.
● Support student leadership within the athletic program, encouraging participation and skill-building.
Facilities and Safety
Collaborate with the athletic director and assistant athletic director to maintain the cleanliness, safety, and functionality of all athletic facilities, ensuring they align with our mission and provide a modern, welcoming environment.
● Maintain a strong focus on the aesthetics and overall condition of athletic spaces to enhance the student-athlete experience.
● Conduct regular inspections to ensure facilities meet high standards of cleanliness, safety, and operational efficiency.
● Coordinate maintenance, repairs, and facility enhancements with the facilities team, proactively advocating for necessary improvements.
● Develop and implement safety protocols for practices, games, and events, prioritizing the health and well-being of all participants.
● Along with the Athletic Director and Assistant Athletic Director help to develop and enforce safety protocols for practices, games, and events, prioritizing health and well-being.
Collaboration and Representation
● Represent Holton-Arms at league meetings and within the ISL community, cultivating positive relationships with external partners.
● Collaborate with the AD, Assistant AD, coaching staff, and other departments to align athletic initiatives with broader school goals.
● Act as a liaison between the Athletics Department, parents, and the community, building trust and engagement.
Community and Family Engagement
● Communicate regularly with parents regarding schedules, policies, and events, ensuring transparency.
● Coordinate parent volunteers for game-day operations and special events.
● Foster community pride by creating opportunities for families to engage with the athletic program.
Program Enhancements
● Explore and integrate innovative technologies and methodologies to enhance athletic performance and program efficiency.
● Oversee logistics for major athletic events such as tournaments, homecoming, and school-wide celebrations.
● Ensure all programs and activities are inclusive and accessible, reflecting Holton-Arms’ commitment to diversity, equity, and inclusion.
Qualifications
● Bachelor’s degree required; Master’s degree in a related field preferred.
● Experience in athletics administration, coaching, or a related area.
● Strong organizational, interpersonal, and communication skills.
● Commitment to creating an inclusive and supportive environment for student-athletes and staff.
● Proficiency in scheduling software, website management, and social media platforms.
● Alignment with the mission, vision, and values of Holton-Arms, with a focus on leadership and service.

The average salary range for this position is $70,000 to $100,000, the exact salary to be determined based on education and experience. Additional stipends may be available for coaching, club sponsorship, or significant extracurricular commitments.
